Recipients cannot open attachments you send

Occasionally, we hear reports of people who are unable to open attachments sent by an Office 365 user.  The most common reason for this, is that instead of sending the actual attachment in an email, they are inadvertently sharing a link to the file within Office 365.  This functionality can be useful if it is expected but when it is unexpected, it can cause confusion.


Here are two indicators that an attachment link was shared, instead of the actual file.

This is how a file looks when it is attached as a link, not as an actual attachment (on Office 365).  Note the "Sharepoint.com" address below the file.

This is how it looks when a non-Office 365 user receives the message.

 

So how can this be prevented when sending attachments?  You can change your settings in Office 365 as follows:

  1. In Office 365, click the Gear icon at the top right.
  2. Go to the following section in the menu Mail->Attachments
  3. Make sure that “Always share them as copies” (or at least “Ask me how I want to share them every time” is selected).
  4. Click Save when done.
