Office 365 - Shared Email Accounts

Overview

Office 365, the official email system used by Faculty and Staff, lets departments or programs use shared email accounts.  These accounts can be shared with multiple people within a department.

Features and Benefits:

  • Can be used through any supported web browser or the Outlook desktop client.
  • Multiple people can access these shared accounts, so as to allow business continuity when individuals are out sick or on vacation.
  • The accounts are linked to an individual's regular Office 365 account at New Paltz, so individuals don't need a separate password.

Authorized Users:

  • Faculty
  • Staff
  • CAS employees
  • Student employees (when needed for their department)

Request Process:

  • To request changes to an existing shared email account (such as granting access to a new individual, or revoking access for an individual), click "Request Account Change" on this page.  Requests must be made by the department head (chair, dean, director, VP, etc.) or the department secretary.

User Responsibility:

  • Users should read and abide by the SUNY New Paltz Acceptable Uses and Privacy Policy and the Faculty and Staff Email Policy and follow the same procedures as they do with their normal email accounts.
  • Departments must make sure individuals are checking and responding to messages sent to the shared account.  Discuss who will be responsible for checking the account before requesting it.  It is better to not have a shared account, then have people emailing an address that is not appropriately monitored.
  • Departments are also responsible for notifying ITS when access needs to be added to, or revoked from, individuals.
