What is Microsoft Bookings?
Microsoft Bookings (or just Bookings) is a service that lets students, faculty, or staff, reserve study rooms, practice rooms, or make appointments with faculty/staff (if those departments or faculty/staff have opted into using Bookings for this purpose).
This article is for faculty, staff, and students looking to use Bookings to make an appointment, reserve a space, etc. If you are a department looking instead to setup Bookings for the first time (i.e. to let people make appointments with your staff, reserve rooms, etc.) see the "Bookings - Initial Setup" article in the related articles section.
Using Bookings to reserve a room or time slot
You should have been provided (via email, or from a department's website) a link to reserve a room, service, or to make an appointment.
- First - go to the address you've been provided. If you are not already logged into Microsoft 365 - you'll be asked to login
Note: If you are a student - you must use your @newpaltz.edu address.
- Once there, you'll see a list of services/locations (possibly just one depending on the service). In the example of the study room booking (as in the screenshot below) there is a listing for each room (so many that you need to scroll down to see the lower ones):
- Click the location/service you want - and scroll down to the date/time selection:
Note: When looking at the dates/times - you may only be able to book a week, or a couple weeks, in advance (depending on the service/location). This doesn't mean that the room is unavailable, but it just means it can't be booked too far in advance. For the study room example, rooms can be booked up to a week in advance).
- Once you've selected a date and time - scroll down to the 'add your details' section, fill in your name and email, and click "Book".
Note: many of these are set with unattended booking - so the 'notes' section may not be read by anyone when you book. If you have any special requests you will want to contact the department directly after making the booking.
- Once you're done booking you'll see the following:
- If you want to make another booking (i.e. you need two hours instead of an hour in a room reservation) click OK and you'll see the option to Reschedule, Cancel Booking, or New booking. Just click New booking to reserve the same location for another time, or another location.
Note: Please be courteous of your fellow students, faculty, and staff when booking. Don't reserve a location all day unless you are actually going to use it. If you no longer need a room that you previously booked - please cancel it. See below for info on doing this.
Managing existing bookings
When you use Bookings - you'll get an email confirmation. That email will have a "Manage booking" link.
