Using Webex For Online Interviews - FAQ and Best Practices

FREQUENTLY ASKED QUESTIONS

  • Who needs a WebEx account?
    • Only one member of the search committee.
      • All SUNY New Paltz faculty and staff members can log in to WebEx via newpaltz.webex.com and their @newpaltz.edu email address.
    • Candidates do not need their own account as they will be invited to the WebEx meeting via email (with a link to join meeting) by the search committee.
  • How can my candidates learn to use WebEx?
    • Send this article to your candidates, it is an overview of what they need to do.
    • If they would like to request a pre-interview test to make sure they are comfortable using the program, they can complete this form. Test connection appointments are not guaranteed, they are based on schedule availability.
  • Will IMS run the WebEx meetings?
    • IMS does not manage the WebEx meetings, that is the responsibility of the WebEx account owner on the search committee. The account owner must schedule the meetings (interviews) with their account. Read this article on how to schedule WebEx meetings.
    • IMS can assist with initiating the interview meeting to make sure a proper connection between the search committee and candidate is made.

 

BEST PRACTICES

  • Get an early start with WebEx.
    • Log in to your WebEx account and get acclimated to the program.
    • Schedule your WebEx meetings for your interviews as soon as you book them with the candidates. 
      • The candidate will receive an automated WebEx email confirmation of the date and time of the interview.
  • Allow for time between each interview.
    • Do not schedule your interviews back to back, leave at least 5-10 minutes between each interview in case one runs late.
  • Look at the camera when talking during the interview.
    • This will simulate eye contact and make for a better interpersonal experience.
  • Do not record the interviews.
    • It is against SUNY New Paltz policy to record interviews in any way.
