Adding a Conference Room Calendar - Office 365

Please note the different instructions depending on your chosen access portal.

  • ·Outlook Web Access via Office 365 on the using an internet browser

  • ·Outlook Desktop Version·


Outlook Web Access

  • Open and Log into Outlook 365 using your web client. 
  • Select the Calendar icon. (on the bottom left) 
  • Right Click on Your Calendars and Select 'New Calendar Group' (above calendar icon)
    • Type in 'Rooms' (if you already have this group you can ignore this step)
  • Right Click on Rooms calendar group then select Open calendar. 
  • In 'From directory' box type in the full name of the room starting with the building name.
    • Such as 'Wooster Hall 139' 
  • A list of locations for the building should auto populate for you to select from, if it does not select 'search directory'.
  • Click on the appropriate room calendar. 
  • The room calendar will be added to the room calendar group. 
  • You can select or unselect the calendar to see its activity by clicking on the room name
    • If you have 'Manager' calendar rights you will be able to add/modify events just like your personal calendar.

Outlook 2016 (Desktop Version - Windows)

  • Open Outlook
  • Select Calendar tab (lower right)
  • Right Click on My Calendars and Select 'New Calendar Group' (above calendar tab)
  • Type in 'Rooms' (if you already have this group you can ignore this step)
  • Right Click on Rooms calendar group then highlight ‘Add Calendars’ then select ‘From Rooms List’
  • A list of Rooms will be populated.
  • Highlight appropriate room and press ‘Rooms->’ button.
  • Once you have added all the room calendars you would like select ‘OK’ button.
  • The room calendar will be added to the room calendar group. 
  • You can select or unselect the calendar to see its activity by clicking on the room name
    • If you have 'Manager' calendar rights you will be able to add/modify events just like your personal calendar.
